Bulk Mail
Bulk mail is a crucial aspect of mail room operations, and it's essential to follow the proper procedures to avoid any issues. All bulk mailings must use West Chester University of Pennsylvania on the return address, as the US Post Office will not accept bulk mail without it.
The US Post Office requires that the authorized nonprofit organization be identified on the mail piece. This means that the name and return address of the nonprofit organization must be on the outside of the mail piece or in a prominent location on the material being mailed.
To initiate a bulk mailing, you need to contact West Chester University's post office and provide the number of pieces, the vendor to be used, the anticipated date of the mailing, and department cost center. This will ensure that the chargebacks to your department occur more frequently and make your budget reports more accurate.
Postal Staff will provide you with a four-digit tracing number, which you should give to the vendor to include on their invoice to the University. This is crucial for proper charging.

Typical Daily Routine
At 8:00 a.m., Monday through Friday, the West Chester University Postal Staff picks up the day's mail from the off-campus United States Postal Service site.
The mail is immediately sorted and bagged for distribution to the various campus departments. This ensures that mail is delivered to its destination quickly and efficiently.
At 10:00 a.m., a University postal staff member begins to deliver the mail, both external and internal, to the departments and picks up any outgoing mail. This is a crucial part of the mail room operations, as it ensures that mail is delivered to its destination in a timely manner.

Other University postal staff members make special deliveries to the departments for packages, certified mail, and registered mail. These special deliveries require extra care and attention to ensure that sensitive or valuable items are handled properly.
At 1:00 p.m., the outgoing mail is being metered and sorted, and that day's internal campus mail is being sorted for next day delivery. This is a busy time in the mail room, as staff members work to get mail ready for pickup.
The United States Postal Service picks up the outgoing mail at 2:30 p.m. This is the final step in the mail room operations, as it ensures that mail is sent to its destination on time.
